Parent Letter Overview
General
The parent letter overview shows you all created and sent parent letters. You can filter them or create a new parent letter directly.
Navigation
Select the menu item Parent Letters in the menu bar on the left side to access the overview of the edjufy parent letter module.
The Four Main Sections
The parent letter overview is divided into four main sections, which you can access via the tabs at the top of the page:
My Parent Letters
The My Parent Letters tab shows you all parent letters that you have created yourself. This is the default section displayed when opening the module.
All Parent Letters
The All Parent Letters tab shows you all parent letters created at your school - regardless of who created them. This is useful for getting an overview of all school-wide communications.
Received Parent Letters
The Received Parent Letters tab shows you parent letters that you have received as a recipient (e.g., from the school administration or other teachers).
This view differs from the other sections:
| Column | Description |
|---|---|
| Title | The title of the parent letter |
| Response | Type of response (e.g., "Response Form" or "Extended Read Confirmation") |
| Date | Date of sending |
| Created by | The person who created the parent letter |
Archive
The Archive tab shows you all archived parent letters. Archived parent letters are removed from the other views but remain in the system and can be viewed here.
Archiving parent letters helps you keep the other sections organized without having to delete old parent letters.
List View Sections
The list view (in the "My Parent Letters", "All Parent Letters" and "Archive" tabs) is divided into the following 3 sections:
- Filter section
- List section
- Create parent letter
Filter Section
Using the filters, you can narrow down the list of displayed parent letters in the list section according to your criteria. This is particularly useful when you are looking for a specific parent letter or want to display only the parent letters of a specific class / class group or time period.
The following filters are available:
| Filter | Description |
|---|---|
| Search | Free text search for parent letter title |
| School Year | Filters by school year |
| Status | Filters by status (Created, Sent) |
| Class | Filters by a specific class |
| Class Group | Filters by a class group |
| Course | Filters by a course |
| Sent from | Shows only parent letters sent from this date |
| Sent until | Shows only parent letters sent until this date |
When you open the parent letter overview via the side menu, all filters are always reset. The only exception is the school year. The school year filter is automatically set to the current school year and can be changed as usual if needed.
List Section
The list section shows you all existing parent letters that are stored in the system and match your selected filter criteria.
The table contains the following columns:
| Column | Description |
|---|---|
| Title | The title of the parent letter (clickable for details) |
| Recipient Groups | The classes/groups to which the parent letter was sent |
| Status | Created or Sent |
| Sent | Traffic light status for sending |
| Received | Traffic light status for reception |
| Read | Traffic light status for reading |
| Response | Traffic light status for responses |
| Created | Date and creator of the parent letter |
| Sent | Date and person who sent the parent letter |
Create Parent Letter
The third and last section of the overview is the Create Parent Letter button.
To create a new parent letter, click on the green button in the top right corner: Create Parent Letter +
Parent Letter Status
Status: Created
One of the most important columns in this overview (besides the title column) is the Status column. This column tells you whether a parent letter has already been sent (Sent) or whether it is still in draft status (Created).
Existing parent letters with the status Created can be opened, edited, saved and deleted at any time.
Status: Sent
Parent letters with the status Sent, on the other hand, can no longer be deleted or changed. However, for sent parent letters, you have the option to analyze the delivery status and responses in detail through a precise evaluation.
Parent Letter Traffic Light System
A special feature of edjufy and our parent letter module is the so-called parent letter traffic light system.
It gives you a quick overview of the current delivery status of sent parent letters without having to go through individual class lists.
