Export Grades
Introduction
The export function allows you to download the grades of a class or course as a file. This is useful for archiving, transferring to other systems, or for use in external programmes.
Request Export
To request a grade export, proceed as follows:
- Navigate to the "Grade Management" module.
- Select the "By Lesson" tab.
- Select the desired class or course.
- Click "More" (next to the "Create Lesson" button).
- Select "Request Grade Export".
Export Dialog
After opening the export dialog, you can configure various settings:
Export Format
First, select the desired export format:

Export Type
Select which grades should be exported:

| Full Year | Exports final grades for the entire school year |
| Grading Period | Exports final grades for a specific grading period |
When selecting "Grading Period", an additional field appears where you can select the desired period (e.g., "1st Sem" for the first semester).
Additional Options
The export dialog offers two additional options:

| Export only locked final grades? | Enable this option to export only locked final grades. Pupils without a locked final grade will not have a grade in the export. |
| Add final grades for associated courses to export? | Enable this option to also include final grades for all courses of pupils from this class/group in the export. |
These options are available for both Excel and ASV XML exports.
Excel Export
The Excel export creates a table with all grades of the selected class:
- All pupils with their grades
- Grades grouped by subjects and grade areas
- Averages and final grades
- Suitable for custom analyses or archiving
Steps for Excel Export
- Select "Excel" as the Export Format.
- Select the desired Export Type (Full Year or Grading Period).
- If you select "Grading Period", also select the desired Grading Period.
- Enable additional options if needed.
- Click "Request Export".
ASV XML Export
The ASV XML export creates a file in XML format that can be directly imported into the Official School Administration (ASV) Bavaria:
- Standardised format for Bavarian schools
- Contains all relevant grade data
- Enables automatic data synchronisation with ASV
ASV Report Card Type
For ASV XML export, you must additionally select the ASV Report Card Type:

Steps for ASV XML Export
- Select "ASV XML" as the Export Format.
- Select the desired Export Type (Full Year or Grading Period).
- If you select "Grading Period", also select the desired Grading Period.
- Enable additional options if needed.
- Select the appropriate ASV Report Card Type.
- Click "Request Export".
The ASV XML format is specifically designed for Bavarian schools. If your school uses a different school administration system, use the Excel export.
After Export
After requesting the export, the file is generated and made available for download. Depending on the amount of data, this may take a few seconds.
The export contains all grades of the selected class at the time of the request. Later changes to grades are not included in the already exported document.
Export Tips
Check Before Export
Before creating an export, it is recommended to:
- Check all grades for completeness
- Lock final grades if needed (see Lock Final Grades)
- Verify the correct grading period
Export Locked Final Grades
For official documents such as report cards, it is recommended to enable the "Export only locked final grades" option. This ensures that only officially confirmed grades are exported.
Regular Exports
Create regular exports for archiving:
- At the end of each grading period (semester)
- Before important conferences
- For data backup
