Absences in General

Introduction

Absences in edjufy are always the counterpart to an excuse for a pupil.
The absence represents the information "The pupil is not present" and is "justified" by an excuse.

The Absences module should generally always be used in conjunction with the Excuses module.

An absence can also be linked to multiple excuses or, for example, be only partially covered by an excuse.

Validity of an Absence

Each created absence for a pupil is valid until the end of the day at most.

The system automatically ends active absences at the end of the day.

Unlike excuses, it is not possible to create absences for more than one day.

Who Should Create an Absence?

An absence can fundamentally only be created by the school.
Legal guardians and adult pupils cannot create absences.

Which person at the school can create absences depends on the individual school.

Typically, absences are created by the respective teacher during lessons.

This can be done either directly in the digital class register or in the recording view.

Alternatively, the office can also create absences, e.g., via the pupil messenger service.

Who Should Handle Absences Within the School?

Generally, we recommend that the processing of absences should always be done by the office.

Since the office is best positioned to take action in cases of unexcused absences.

Note

The office should primarily handle unexcused absences.
In these cases, especially for minor pupils, they must take action and possibly contact the legal guardians.

The Daily View

For efficient processing of absences, we recommend the daily view in the Absences module.

There you can see all absences for the current day at a glance and can process them directly.

The view is also divided into two areas:

  1. Absences with unknown status
  2. All absences for the day

The "Postal Code & City" column helps you more easily identify related absences, e.g., due to public transport delays.

How Often Should Open Absences Be Processed?

Absences with the status Unknown should fundamentally be processed daily and as quickly as possible.

Absences with an assigned excuse are automatically processed by the system based on the excuse.
For example, an absence is automatically set to Excused when the matching excuse has been accepted.
