Excuses / Leave Requests

Introduction

The settings for excuses and leave requests allow you to configure the behaviour of the Excuse, Leave Request, and Sports Excuse modules. Here you can specify who may create excuses, whether they are automatically accepted, and which excuse reasons are available.

Note on Visibility

This settings page is visible when at least one of the following modules is enabled for your school:

  • Excuse module
  • Leave Request module
  • Sports Excuse module

The individual sections are displayed depending on which modules are enabled.

Overview

The settings are divided into two tabs:

  • General: General settings for excuses, leave requests, and sports excuses
  • Excuse Reasons: Management of available excuse reasons (only with Excuse module)

Edit Settings

To edit the general settings, proceed as follows:

  1. Navigate to SettingsExcuses / Leave Requests.
  2. Make sure the General tab is selected.
  3. Click the Edit button in the top right corner.
  4. Make the desired changes.
  5. Click Save when finished.

Tab: General

General

This section contains basic settings that apply to both excuses and leave requests.

Note on Visibility

This section is visible when the Excuse module or the Leave Request module is enabled.

Creation of excuses / leave requests by pupilsSpecifies whether and which pupils may create excuses or leave requests themselves.

Excuses

In this section, you configure settings specifically for excuses.

This section is only visible when the Excuse module is enabled.

SettingDescription
Date restriction for creating excuses (parents / pupils)When enabled, parents and pupils can only create excuses within a certain time period.
Do not send notification about new excuses to class teacher?When enabled, the class teacher is not notified about new excuses.
Medical certificate required for excuses from X daysSpecifies after how many days of absence a medical certificate is required. The default value is 3 days.
Medical certificate required on exam daysWhen enabled, a medical certificate is always required for absences on exam days.

Automatically Accept Excuses

In this section, you can configure the automatic acceptance of excuses.

This section is only visible when the Excuse module is enabled.

SettingDescription
Automatically accept excusesWhen enabled, excuses are automatically accepted if the defined conditions are met.
Day limit for automatic acceptanceSpecifies the maximum number of days up to which excuses are automatically accepted. The default value is 3 days.
Exclude pupils with medical certificate requirement from automatic acceptanceWhen enabled, excuses from pupils with a medical certificate requirement are not automatically accepted.
Exclude excuses on announced exam days from automatic acceptanceWhen enabled, excuses on days with announced exams are not automatically accepted.

Leave Requests

In this section, you configure settings for leave requests.

Note on Visibility

This section is only visible when the Leave Request module is enabled.

SettingDescription
Primary processor for leave requestsSpecifies who is responsible as the primary processor for leave requests. If no person is selected, the class teacher is responsible by default.

Sports Excuses

In this section, you configure settings for sports excuses.

Note on Visibility

This section is only visible when the Sports Excuse module is enabled.

Do not send notification about new sports excuses to class teacher?When enabled, the class teacher is not notified about new sports excuses.

Tab: Excuse Reasons

In the Excuse Reasons tab, you can manage the available reasons for excuses. These reasons are available for selection when creating an excuse.

This tab is only visible when the Excuse module is enabled.

Overview

The overview shows all configured excuse reasons in a table with the following columns:

Comment when creatingIndicates whether a comment is optional or required
Default ReasonIndicates whether this is a system default reason
EditButton to edit the excuse reason
DeleteButton to delete the excuse reason

Add Excuse Reason

To add a new excuse reason, proceed as follows:

  1. Navigate to SettingsExcuses / Leave Requests.
  2. Switch to the Excuse Reasons tab.
  3. Click the Create Reason + button.
  4. Fill out the displayed form.
  5. Click Save when finished.

Form Fields

General

FieldDescription
NameThe name of the excuse reason. This field is required.

Availability by User Type

Specify which user groups can select this excuse reason when creating an excuse:

AdminWhen enabled, administrators can select this reason.
TeacherWhen enabled, teachers can select this reason.
Legal GuardiansWhen enabled, legal guardians can select this reason.
PupilWhen enabled, pupils can select this reason.

Settings

FieldDescription
Comment when creatingSpecifies whether a comment is optional or required when creating an excuse with this reason.
PDF confirmation requiredWhen enabled, a PDF confirmation must be uploaded when using this reason.
Automatically exclude from absence evaluationWhen enabled, absences with this reason are automatically excluded from absence evaluation.

Edit Excuse Reason

To edit an existing excuse reason, click Edit in the row of the desired reason and make the desired changes in the form.

Note on Default Reasons

Excuse reasons marked as Default Reason cannot be renamed or deleted. However, you can adjust the visibility for the different user types to deactivate a default reason.


Delete Excuse Reason

To delete an excuse reason, click Delete in the row of the corresponding reason and confirm the deletion.

Warning

Default reasons cannot be deleted. If you no longer want to use a default reason, deactivate the visibility for all user types instead.
